Receptionist/Administrative Assistant Job Description

Full-time position, 40 hours weekly

8am-4:30pm schedule—this availability is MANDATORY



Answering incoming phone lines

                Answer questions as appropriate             

                Transferring calls to the appropriate personnel


Guest management

                Greet all guests, maintain sign-in log

                Conference Room scheduling

                Assist potential employees with application process        


Communication routing

                Sorting incoming mail

                Insuring all packages and mail are directed to the correct personnel

                Insuring outgoing mail is shipped

                Daily inter-office communication delivery

                Employee Communication Boards—updated weekly and monthly


Supply Inventory

                Keep weekly inventory of all Office, Break room, and cleaning supplies

                Complete orders as necessary

                Request service when required


Maintain budgets for Supplies, Postage, Cleaning, Cable, Services, etc

                Weekly reconciliation of purchases to Accounting

                Audit and submit invoices for payment to Accounting upon receipt


Daily Cleaning

                Daily cleaning of the breakroom, fridge cleaning as necessary, dishwasher load/empty

                Daily cleaning of lobby

                Daily cleaning of conference rooms



Skills Required

Professional communication skills, both verbal and written

Organization and time management are key to success in this role

Microsoft Windows, including MS Word and Excel

Ability to navigate Internet and assist others in doing so
